Your number is active, the app is installed, and your team is set up. Now it's time to actually use it. This article walks you through making your first call, receiving incoming calls, managing your availability, and choosing which number appears when you call someone.
Before You Start
Make sure you have:
The Romulus app installed and open on your device
Logged in with your Romulus email and password
An active phone number on your account (completed in Article 1)
A stable internet connection β Romulus calls run over the internet, not a phone line
Step 1 β Make a Call
Making a call in Romulus works just like dialling from a regular phone, but everything happens inside the app.
Open the Romulus app on your computer or smartphone
Click or tap the dial pad icon β usually found in the bottom navigation bar or left sidebar
Type the phone number you want to call, including the country code if calling internationally (e.g. +39 for Italy)
Press the green call button to start the call
When you're done, press the red end call button to hang up
The call will go out using your Romulus business number β this is what the person you're calling will see on their screen.

Step 2 β Receive a Call
When someone calls your Romulus number, the call rings directly inside the app β on all devices where you're logged in and set to Available.
Make sure the Romulus app is open (or running in the background on your device)
When a call comes in, you'll see a notification with the caller's number or name
Click or tap the green answer button to pick up
Click or tap the red decline button to reject the call

Step 3 β Managing Your Availability
Romulus lets you control when you're reachable. Your availability status tells the system whether to ring your device or not.
To change your status, look for your profile icon or status indicator inside the app. You'll typically see these options:
Available β you will receive incoming calls normally
Do Not Disturb β incoming calls will not ring on your device. Calls will follow your inbound rules (e.g. go to voicemail or another team member)
Offline / Logged out β you won't receive any calls
Use Do Not Disturb when you're in a meeting, on a break, or need uninterrupted focus time. Don't forget to switch back to Available when you're ready to take calls again.

Step 4 β Choose Which Number to Call From
If your Romulus account has more than one phone number, you can choose which one appears when you make an outgoing call. This is useful if your business has multiple lines β for example, a sales number and a support number β and you want customers to see the right one.
Open the Romulus app and go to your Settings or Profile section
Look for Outgoing Number or Caller ID
Select the number you want to use for outgoing calls
Save the setting β all future outgoing calls will show that number

Common Questions
Why isn't the app ringing when someone calls?
The most common reasons are: the app is closed, your status is set to Do Not Disturb, or your device's notification permissions are blocking the app. Make sure the app is running, your status is Available, and that Romulus has permission to send notifications on your device.
Can I use Romulus to call mobile numbers and landlines?
Yes. You can call any Italian or international phone number β mobile or landline β directly from the Romulus app. Standard call rates apply depending on your plan.
What happens to a call if I lose internet connection mid-call?
The call will drop if your internet connection is interrupted. Romulus calls run entirely over the internet, so a stable connection is essential. If this happens often, check your network quality β a minimum of 1 Mbps upload/download per call is recommended.
Can I put a call on hold?
Yes. During an active call you'll see call controls including a Hold button. Press it to put the caller on hold β they will hear your hold music while they wait. Press again to resume.
