Getting Started: Your Number and the App

Understand what the Romulus phone system is, how to get your business number set up, and how to install the app so you can start making and receiving calls.

If you've just joined Romulus, this is your starting point. Before you can receive a call, transfer a customer, or set up your team — you need three things in place: a clear understanding of how Romulus works, an active business phone number, and the Romulus app installed on your device. This article walks you through all three.

What is the Romulus Phone System?

Romulus is a cloud-based phone system. This means your business phone number and all your calls are managed over the internet — not through a physical phone line or a traditional desk phone.

In practice, this means:

  • You can make and receive calls from your computer or smartphone, anywhere you have an internet connection

  • Your whole team shares the same business number, and you control who answers and when

  • You can set rules for what happens when a call comes in — ring specific people, play a menu, send to voicemail, and more

  • Everything is managed from a single dashboard — no hardware required

Think of Romulus as your entire business phone system, living inside an app.

Step 1 — Get Your Business Number

Every Romulus account needs at least one phone number. This is the number your customers will call, and the number that appears when you call them. There are two ways to get one:

Option A — Activate a new number

If you don't have an existing business number (or want a fresh one), you can activate a new Italian landline or mobile number directly from the Romulus dashboard. You choose the prefix, and the number is active within minutes.

Option B — Transfer your existing number

If you already have a business number that your customers know, you can transfer (port) it to Romulus so you keep the same number. This process takes a few business days and requires submitting a transfer request. Your Romulus team will guide you through it.

⚠️ Important: You won't be able to receive calls until a phone number is active on your account. Complete this step before moving on.

Step 2 — Download and Install the Romulus App

Romulus works through an app — available on Windows, Mac, iPhone, and Android. This is where you'll answer calls, make calls, check your call history, and manage your availability. You can install it on multiple devices and use whichever is most convenient.

To download the app:

  1. Go to the Downloads section inside your Romulus dashboard, or visit the article linked below

  2. Choose your device: Windows, Mac, iOS, or Android

  3. Download and install the app following the standard process for your device

  4. Open the app and log in with the same email and password you use for the Romulus dashboard

💡 Tip: Install the app on both your computer and your smartphone. That way, if you step away from your desk, calls will still reach you on your phone.

Step 3 — Make Your First Call

Once the app is installed and your number is active, you're ready to make your first call. Open the Romulus app and look for the dial pad icon. Enter any phone number and press call — it's that simple. The call will go out using your Romulus business number.

To receive calls, you just need to have the app open and your status set to Available. When a call comes in, you'll see it ring directly in the app — just like a normal phone call.

Common Questions

Do I need a physical phone or any special hardware?

No. Romulus works entirely through the app on your existing computer or smartphone. No desk phones, no SIM cards, no additional equipment needed.

Can I use the same number on multiple devices?

Yes. You can install the Romulus app on as many devices as you like. Incoming calls will ring on all of them simultaneously (or according to the routing rules you set up later).

What if I already have a number with another provider?

You can transfer it to Romulus so you keep the same number. Contact your Romulus account manager to start the transfer process.
